# Artists & teams

> Set up your artists and manage the people who make your operation run.

Everything in Roadcase is organized around **artists**. An artist represents a band, solo act, or project. Each artist has its own calendar, shows, team, documents, and settings. You can belong to multiple artists — for example, if you play in two bands or manage several acts.

## Creating an artist

When you first sign up for Roadcase, you create your first artist as part of onboarding. To add more artists later:

1. Open the artist switcher in the sidebar
2. Click **New artist**
3. Enter the artist name, bio, and choose an avatar color
4. Optionally upload a profile picture

Your artist name appears across Roadcase — on calendar events, generated PDFs, and shared links. You can change it at any time in artist settings.

## Artist settings

Each artist has configurable settings under **Settings > Profile**:

| Setting | Description |
| - | - |
| **Name** | The display name for this artist |
| **Bio** | A short description of your music, story, and sound |
| **Avatar color** | One of 16 colors used to identify this artist in the UI |
| **Profile picture** | A profile image for the artist (max 25 MB, supports PNG, JPEG, and WebP) |
| **Logo** | Appears on generated PDFs (riders, stage plots, settlements) |

## Team management

Your team consists of everyone who has access to your artist in Roadcase. Each team member has a role that determines what they can see and do.

### Inviting team members

Navigate to **Settings > Team** and click **Invite**. Enter the person's email address and assign their role:

* **Administrator** — Full access to everything
* **Member** — Set their instrument (vocals, guitar, bass, drums, keyboards, etc.)
* **Crew** — Set their crew role (sound engineer, lighting tech, merchandise, etc.)

The invited person receives an email with a magic link. When they accept, they are added to the artist with the role you assigned.

> [!NOTE]
>
> If the person already has a Roadcase account, they will see the artist appear in their artist switcher after accepting the invitation. If they are new to Roadcase, accepting the invitation creates their account automatically.

### Predefined instruments

When adding a member, choose from these instruments:

Vocals, Guitar, Bass, Drums, Keyboards, Violin, Saxophone, Trumpet

### Predefined crew roles

When adding crew, choose from these roles:

Tour Manager, Sound Engineer, Lighting Tech, Stage Manager, Guitar Tech, Drum Tech, Monitor Engineer, Merchandise, Driver, Photographer, Videographer

### Road crew

You can mark any team member as **road crew**, which means they travel with the tour. Road crew members appear in event attendance tracking, letting you see at a glance who will be at each show.

### Removing team members

Administrators can remove team members from **Settings > Team**. Removing someone revokes their access to the artist but does not delete their Roadcase account.

## Multiple artists

A single Roadcase account can belong to any number of artists. Use the artist switcher in the sidebar to move between them. Your calendar can display events from multiple artists simultaneously using the artist filter.

Common multi-artist scenarios:

* A musician who plays in multiple bands
* A manager who oversees several acts
* A sound engineer who crews for different artists

For managing multiple artists under a single management company or label, see [Organizations](https://docs.roadcase.app/core-concepts/organizations.md).

## Artist contacts

Each artist has a contacts directory for storing contact information for people outside your Roadcase team — booking agents, promoters, publicists, label contacts, and so on.

Each contact can have:

* Name, email, phone
* Role or title
* Notes
* EPK visibility toggle (whether to show this contact on your public Electronic Press Kit)

Navigate to **Settings > Contacts** to manage your artist's contact directory.
